Episode 69: How to Free Up Time in Your Creative Business by Delegating

Make more money and free up time in one fell swoop? Yes please! Delegating tasks that are sucking up your time is essential when running a small business. You didn’t get into business to do administrative work so as soon as possible you need to delegate those tasks out. We’re not always talking about hiring an employee either. Catch this week’s episode and start handing out those essential tasks you hate so you can get back to doing what you love.

  • Problem: There is only one you. And you shouldn’t be doing everything! Not even when you’re just starting. It’s impossible. So how can you free up time to work on tasks that make you money but still get everything done. One magical word: delegating! Even if you have no team and or little funds, we’re going to give you three ways you can delegate in your business.

  • Delegate by Hiring a VA

    • Let’s be clear BEFORE you ever hire a VA or an assistant you should have everything you want them to do documented! This helps your investment be worth it and helps maximize your ROI.  

      • Jess’ VA creates item proposals, enters expenses into QB, creates invoices for items and services, schedules delivery, and more and have everything documented.

        • She has training videos and step by step how to PDFs with photos on how to create Proposals and enter expenses into QB (with the way I want it done). She has checklists on how to order for each vendor - each vendor is different so they pull up the checklist and do it without having to ask me questions!

        • She has emails templates for letting clients know their items were ordered, for inquiries, for FAQ, and more….

    • Steph has no VA but her husband is a partner in the company. He’s in charge of a lot of the graphics, SEO, keyword research, analytics, help with photo shoots. He’s an integral part of the business and she couldn’t do it all without him.

  • Outsource by Hiring Independent Contractors

    • Steph’s outsourcing:

      • Bookkeeper ($49 a month)

      • Photographer for branding shoots sometimes

      • Video editing (approx. $35 a month)

    • Jess’ outsourcing:

      • VA - is an independent contractor  - be careful and make sure you are following rules for this.

      • Runners (again if you have everything documented)

      • Bookkeeper

      • Accountant

      • Photographer

      • PR

      • Graphics - Steph does this! And yes- Jess pays her!

  • Outsource Personal Tasks: delegating can go beyond business

    • Hiring a cleaning company

    • Insta cart

    • Meal delivery

    • Not really “outsourcing” but Steph has eliminated all Target trips (and massive overspending) by going to the nearby farmer’s market for food and Amazon Priming toiletries.

    • If you have a partner, have them do cleaning, laundry, etc. If they support you in your business, they’ll do it. All you need to do is ask!

    • Jess does Amazon subscribe and save so paper towels, sponges, laundry detergent, and toilet paper show up right when I need them. When she does need Target items I preorder and then pick up so I save time and money.  also do this for Ralphs items.

    Farmers market on the weekends for veggies and olive oil! Multi tasking because it’s a fun family trip and also getting food!

  • When you see someone online and think how in the world are they getting it all done, chances are, they’re getting some help in some way- even if it’s just from a small group of people or their cleaning lady. So instead of thinking of this as an added cost, think of it as a way to free up your time to do more billable work. It just makes sense!
